Terms of Service
Welcome to RecLeague.ca. These Terms govern your access to and use of our lightweight recreational sports league platform, whether you are a league convenor, team captain, player, or spare substitute.
Table of Contents
1. Acceptance of Terms
By accessing, visiting, browsing, registering an account on, or administering a league through RecLeague.ca (the "Platform" or "Service"), you agree to be bound by these Terms of Service ("Terms") and our Privacy Policy. If you do not agree to these Terms, you may not use or access the Platform.
These Terms apply to all users, including league organizers/convenors, team captains, players, spare substitutes, gym supervisors, and general public visitors.
2. Platform Scope & Role
RecLeague.ca provides digital software tools designed specifically for community recreational sports leagues (such as recreational volleyball, basketball, dodgeball, and indoor sports). Our service facilitates fixture schedules, automated standings calculations, mobile score reporting, gym permit notes, iCalendar schedule syncing (RFC 5545), and sub/spare recruitment boards.
3. League Convenor & Organizer Responsibilities
League convenors who create and manage leagues on RecLeague.ca are solely responsible for:
- Securing legitimate facility permits, school board approvals, insurance coverage, and gym rental contracts.
- Accurately publishing venue addresses, court designations, parking guidelines, and shoe footwear policies.
- Maintaining the confidentiality of their convenor administration login credentials.
- Promptly updating match schedules and weather cancellations for the safety and convenience of their players.
- Handling team disputes, disciplinary actions, on-court conduct, and local league rules.
4. Team Captains & PIN Security
To preserve a lightweight user experience without requiring every participant to register an account, RecLeague.ca utilizes a secure 4-digit Team PIN architecture:
- Team Captains receive a 4-digit PIN generated by their league convenor.
- This PIN authorizes the captain to submit set-by-set game scores and unlock direct contact details on the Spare Player Board.
- Captains agree to safeguard their PIN and share it only with designated co-captains. Captains agree not to disclose their PIN to unauthorized third parties or use it to harvest spare player contacts for commercial purposes.
- Any fraudulent score tampering or misuse of PIN privileges may result in forfeiture of matches and removal from the platform.
5. Spare & Substitute Player Board
RecLeague.ca features an integrated free agent / spare player board to help teams avoid forfeits:
- Voluntary Submission: By submitting your name and contact information to the Spare Board, you consent to having your first name, last initial, skill preference, and availability publicly displayed.
- PIN-Gated Contact Details: Your phone number and email address are never rendered in raw public HTML and are strictly gated behind verified 4-digit Team Captain PIN authentication.
- Self-Service Removal: Every spare is issued a unique removal token upon listing. You may delist yourself at any time by clicking your removal link or contacting the convenor.
- Zero Spam Policy: Contacting spare players for purposes unrelated to recreational sports match participation (e.g., commercial advertising, multi-level marketing, or harassment) is strictly prohibited.
6. Fees, Paid Services & Future Payment Processing
RecLeague.ca provides core recreational league services and may introduce premium paid features, convenor software subscriptions, and integrated team fee collection tools:
A. Platform Subscriptions & Tiered Features
Certain advanced capabilities (such as custom athletic branding palettes, automated round-robin engines, premium domain routing, and multi-season archiving) may be offered on a paid subscription basis (monthly or seasonal). Pricing and billing terms will be clearly displayed prior to purchase.
B. Currency & Applicable Taxes
Unless explicitly stated otherwise, all platform fees and subscription prices are quoted in Canadian Dollars (CAD) and are subject to applicable federal and provincial sales taxes (including GST, HST, or PST based on the customer's jurisdiction).
C. Secure Third-Party Payment Processing
When payment processing capabilities are utilized, payments are securely processed through certified, PCI-DSS Level 1 compliant third-party payment gateways (such as Stripe). RecLeague.ca does not directly store, retain, or process raw credit card numbers or banking credentials on its servers.
D. League Fee Collection & Organizer Transactions
When convenors utilize RecLeague.ca payment features to collect team registration fees, player dues, or tournament entries:
- RecLeague.ca acts solely as a technical payment facilitator between convenors and participants.
- Convenors are solely responsible for setting their own team pricing, determining refund eligibility for cancelled seasons, and remitting any taxes due on their league operations.
- RecLeague.ca platform transaction fees (if applicable) are non-refundable once a transaction is successfully processed.
E. Subscription Cancellations & Refund Policy
Convenors may cancel recurring software subscriptions at any time through their dashboard or by emailing support@recleague.ca. Cancellations take effect at the conclusion of the current paid billing cycle. Software subscription fees already billed are non-refundable, except where mandated by applicable Canadian consumer protection legislation.
F. Chargebacks & Payment Disputes
Users agree to contact RecLeague.ca or their league convenor in good faith to resolve billing concerns before initiating a credit card chargeback. Any fraudulent or bad-faith chargebacks may result in the immediate suspension or termination of the offending user or league account.
7. Athletic Risk & Limitation of Liability
To the maximum extent permitted by applicable law, RecLeague.ca and its owners, operators, and affiliates shall not be liable for any direct, indirect, incidental, special, consequential, or punitive damages, including physical bodily injury, death, property damage, gym permit cancellations, lost profits, or data loss arising out of your participation in any league or reliance on information presented on the Platform.
8. Acceptable Use & Conduct
You agree not to use RecLeague.ca to:
- Upload defamatory, abusive, racist, harassing, obscene, or unlawful content in team names, news bulletins, or notes.
- Attempt to bypass, manipulate, or brute-force Team PINs or administrator authentication mechanisms.
- Scrape, crawl, or harvest personal contact info, phone numbers, or email addresses from the site.
- Interfere with or disrupt platform servers, databases, or API feeds through denial-of-service attacks or malicious code.
9. Termination & Account Suspensions
RecLeague.ca reserves the right to suspend, terminate, or restrict access to any user, league, or convenor dashboard at our sole discretion, without notice, for conduct that violates these Terms, harms other participants, or threatens the security and integrity of the Platform.
10. Governing Law
